Submission Terms & Conditions
By submitting an abstract, you agree to the following terms and conditions:
- Making a submission does not mean you will automatically be granted a speaker slot. Your submission will be reviewed by our expert panel, and they will decide on the best mix of topics and speakers for Congress attendees. We appreciate your time and patience as we put together the Congress agenda.
- Submission authors will be advised if their request for a speaker time slot has been accepted, or not, by 30 June 2025.
- Speaker time slots will be allocated to the dates 20 or 21 November 2025. The date and time offered will depend on the topic track you selected, as we try to cluster speakers into groups based on topic. eMHIC reserves the right to change your submission topic track.
- Accepted speakers must notify eMHIC of their acceptance of the offered speaking time slot by 30 July 2025. You may request a change of time slot, but we cannot guarantee it will be possible as it depends on whether we are able to swap you with another speaker time slot.
- Accepted speakers will be eligible to register at the discounted speaker rate. Speakers must register by 30 August 2025. After this date, eMHIC reserves the right to withdraw the offer of a speaking time slot and reallocate the time slot to another speaker, unless prior arrangements have been made by mutual agreement for a time extension.
- Final presentation slides must be provided by 30 October 2025.
- We will film all Congress sessions. These recordings will be made available in the eMHIC video library for viewing by registered delegates and eMHIC members. Presenters will receive no financial compensation for these video recordings and the recordings will remain the property eMHIC in perpetuity.
- By making a submission, you are giving consent for your speaker’s details to be published on the conference website and app. This includes name, job title, organisation, photo, biography.
- There is a maximum of two speakers per lectern presentation, and a maximum of one speaker per lightning or panel presentation.
- Speakers who require a visa to enter Canada are required to apply for this in sufficient time. eMHIC will send out reminders to assist with this but eMHIC cannot arrange a travel visa for a speaker. On request, eMHIC will provide a letter confirming you have been offered a speaker timeslot, if you need one to support a speaker’s travel visa application.
- Travel and accommodation costs are the responsibility of speakers.
- eMHIC does not pay speaker fees or honorariums.
- By making a submission, the submission author and the speakers will be added to the eMHIC mailing list to receive information about eMHIC events. You can opt out at any time.
